This is the role

As Senior Assistant it is your core business is to coordinate and execute operational and administrative support for your direct stakeholders and their respective groups. This support can be defined, but is not limited to meeting and travel management, the organization of events, varying in size and duration. You will also be responsible for the correct handling of service invoices through our Purchase to Pay (P2P) process.

Understanding our company dynamics, best practices, applications and their interactions are key to this role. Furthermore we encourage you to participate or lead the support in departmental and office specific events and projects.

You will work in a direct team of five assistants, while maintaining your dedicated stakeholders. In this role you will have four stakeholders, with a team of approx. 30 people in the Intermediates & Derivatives (I&D) business unit.

Our Rotterdam office consists of approximately 750 employees and 40+ different nationalities and is considered our European headquarters. Affinity for working for a large group of overhead in a dynamic culture is preferred.

 

Responsibilities & accountabilities: 

  • Meeting management, schedule recurring meetings, 1-on-1, (cross) team meetings. Act as gatekeeper if required for agenda, content, conference rooms and/or catering.
  • Travel management, including expense processing. Book flights, hotels, train, rental car, taxi using Concur where possible. Arrange required visa for travel.
  • Data administration and admin request. Ensure correct routing and filing of our I&D contracts and handling various admin requests.
  • Event organization and support. Act as lead support for events organized within the I&D department.
  • Service invoices, ensure timely payment of the I&D service invoices through our P2P, using SAP.

This is what you bring

  • University / college degree preferred, or equivalent experience
  • Minimum of 6+ years working experience in same or similar role in an international environment
  • A thorough understanding of Microsoft 365 Apps, familiarity with DocuSign, Documentum, SalesForce or ability to quickly grasp these applications.
  • SAP knowledge is a bonus
  • Fluent in English both written and oral, preferably Dutch or another European language.
  • Fulltime availability is strongly preferred
