This is the role


As Department Assistant you will perform administrative duties as requested by the team. You will manage calendars, mail, e-mail and phones. Prepares reports, responds to correspondence, coordinates meeting details and manages the registration of vacation schedules. Does the office management including contract management and people on-boarding. These duties can include word processing, developing spreadsheets and databases and completing complex (graphical) presentations. Maintains confidentiality in all assignments.


You will support the team with various activities to enhance the efficiency. Organize meetings that can be global, making meeting minutes and updating dashboards. Also support with complex presentations and spreadsheets is regularly needed. Furthermore you will act as SAP delegated requisitioner and Record Retention focal point for the department. You track departmental cost center performance and ensure timely payment of budgeted costs. Coordinates and overseas travel arrangements and departmental cost- & expense reporting.

These are your roles & responsibilities


The Department Assistant supports Directors in Rotterdam and their European teams, and works closely with the other assistants on location. These assistants are each other’s back up in case of vacations etc.


The overall specification of a secretarial / assistant job would be:


  • Coordinate internal and external meetings and conferences, including travel & lodging 
  • Support staff meetings, including agenda for each meeting and invite speakers
  • Coordinate travel plans as requested. 
  • Process and track vendor payments and expense reports
  • Manage major events in team schedules/calendars
  • Make or support business presentations.
  • Screen mail, e-mail and phone calls.
  • Track project management benchmarks & update project plans and dashboards
  • Acts as SAP delegated requisitioner and SalesForce expert
  • Complete word processing, graphical, spreadsheet and database assignments

  • Excellent interpersonal skills; able to communicate and coordinate workflow assertively and diplomatically at all levels of the organization, especially at the senior manager and executive level
  • Able to work independently and to initiate administrative improvements
  • Well-honed organizational skills—manages workflow & projects effectively and timely
  • Able to manage & prioritize multiple projects
  • Work with international teams with a Can-Do-mentality
  • Excellent skills in Microsoft powerpoint and excel.
  • Experience with CRM software like SAP and/or Salesforce is a plus.
  • Energy and enthusiasm

This is what you bring


  • Bachelor degree or equivalent education or experience 
  • Familiar with various software like, Microsoft Word and -TEAMS, Excel, Powerpoint, and/or other word processing, graphs, spreadsheets, database and Outlook software
  • Fluent in English and preferably one other European language.
