This is the role
The Legal Operations Specialist EAMEI supports the daily operations of the LyondellBasell Legal Department in Europe, Asia-Pacific and Middle East for all legal practice groups such as Disputes, HSE, O&P, PNZE, I&D, IP, Compliance, Fin & Corp, M&A, C&LCS, L&E and Sustainability.
Operational Support:
Help the Legal Ops. manager with managing E-Billing systems, legal matters management, and assisting in vendor relationships often using specialized software such as Onit/SAP.
- Review and draft engagement letters, manuals and standard legal documents for review;
- Execute SAP tasks such as payments, vendor management, contractor management and organizational changes and ensures correct set ups, invoicing and vendor communications;
- Coordinating activities of external service providers, such as outside counsels and vendors, includes:
- Legal Vendor setting-up in DQP/Ariba
- Legal Vendor setting-up in Onit/BillingPoint
- New Matters setting-up in Onit
- Develop and maintain internal information databases. Manage administrative matters with outside counsel and other service providers;
- Provide administrative assistance and perform other duties as assigned such as team meeting; trainings & events, team initiatives;
- Performing Onboarding activities: Onboarding new hire/contractors set-up & training;
- Assist in the implementation and management of legal department processes and systems;
- Maintain and update legal databases, ensuring all information is accurate and up-to-date;
- Support the development and maintenance of templates and playbooks for legal documents;
- Handling in and out Legal correspondence, PEC and Letters.
Project Contributor:
- Supporting the development and implementation of legal technology solutions to improve efficiency and productivity;
- Complete Assigned Tasks: Ensure that all tasks assigned by the project manager or team leader (such as testing, data collection, making ready test cases) are completed on time and to the required standard;
- Collaborate with cross-functional teams (AP,VAT, etc…) to ensure seamless execution of projects;
- Performing legal research for disputes/investigations in the Company repositories, in electronic and physical formats and report back to the counsels on strategy and development.
Compliance and Risk Management:
- Ensuring compliance with legal regulations and company policies, such as data privacy and security requirements;
- Support the management of engagement letters and other legal documents, including review and analysis.
Data Analysis and Reporting:
- Managing budgets and expenses including tracking invoices, processing payments, and ensuring compliance with financial policies and procedures in EAMEI;
- Key Contributor/Owner of the Manual Invoice Process in Italy supporting on Italian manual billing (Onit-SAP);
- Preparation of Internal Invoices (payments ordered by the tribunal);
- Billing;
- Attending E-Billing global Project meetings;
- Maintain legal matters forecast/budget up to date in Onit.
The Legal Operations Specialist EAMEI may also be responsible for identifying areas for improvement in processes, and ensuring compliance with legal regulations and company policies to provide administrative and operational support that helps to streamline legal workflows and improve overall efficiency.

This is what you bring
- Education: Bachelor’s degree in Law, Business Administration, Management, or related field. A Master’s degree or relevant certifications (e.g. in legal operations or Project Management) is a plus. Equivalent experience in the legal business operation filed may suffice for work requirements;
- Experience: Minimum of two years’ experience in legal operations, paralegal work or related field within a legal or corporate environment. Proven track record of managing legal projects, processes, and systems;
- Technical Proficiency: Technology skills: comfortable using a variety of technology tools and systems, such as document/legal matters management software and billing software, contract management system and legal research database. Strong MS Office skills, particularly in Excel, Word and PowerPoint.
