This is the role
As a department assistant you will play a pivotal role in ensuring the precise and punctual execution of the support fulfillment process for Managers and their respective departments. This includes a wide range of responsibilities, such as managing travel and expenses, handling SAP transactions, overseeing calendar management, orchestrating intricate meeting schedules, and efficiently managing contractors, among other daily support tasks.
Reporting to the Supervisor of Management Assistants, the jobholder operates within a collaborative team environment, working alongside 3-4 colleagues. This collaborative effort is essential in delivering exceptional support to Managers and achieving departmental goals. Furthermore, this role offers developmental opportunities that contribute to both personal and professional growth. Department Assistants have the chance to actively participate in interdepartmental projects, where they represent the Assistants group and contribute their expertise to project success. Additionally, sharing knowledge and becoming a Subject Matter Expert in various aspects of the role is a significant developmental responsibility, further enhancing the value they bring to the organization.
Responsibilities
- Delivers highest quality service to management by handling requests in a timely and professional manner in order to ensure long term value creation for the company while increasing internal customer satisfaction;
- Supports the tangible activities of the business with the team and sets targets and goals aligned to the business plan;
- Act as primary interface with supporting management in order to serve the customer in the most efficient and effective way in order to maximize value for LyondellBasell and ensure effective interfaces with partner functions;
- Develops strong relationships with key stakeholders (customers, business, HR, IDC, Finance, etc.);
- Ensures formal governance compliance and company work ethic culture is in place by respecting / adhering to all policies and procedures and proactively “lives” them;
- Executes SAP tasks such as payments, vendor management, contractor management and organizational changes and ensures correct set ups, invoicing and vendor communication;
- In order to improve process efficiency trains to become Super User to bring in ideas and share new processes within the Assistants Team;
- Creates, revises and keeps procedures and work instructions up to date in conjunction with other departments in order to sustain process stability and standardization;
- Ensures and initiates own training, seeks guidance, and develops functional expertise as needed to assist organization in order to improve performance of colleagues and effectivity of procedures;
- Ensures development to ensure continuation in the organization according in line with the job ladder.

This is what you bring
- University / college degree preferred or equivalent experience;
- IT capabilities (SAP, MS Office);
- 0-8 years’ work experience;
- Proven skills as Super User Within the Assistance area;
- Fluent in English and preferred one other language of the main country under the responsibility.
