The Plant Administration Specialist is responsible for managing Site communications, facilitating key tasks and procedures, performing a number of administrative support and Vendor service tasks to ensure efficient operation of their Site/Office environment. Their duties include placing orders for office and other supplies when needed and directing both incoming and outgoing calls, emails and letters.Finally it also include office management part.

A Day in the Life

  • Office & Site Operations
  • Provide daily support to Board Members, the Site Manager and local management.
  • Collaborate closely with Maintenance, HSE, Production, HR, SCM, Finance and administrative teams.
  • Maintain contact with public offices, contractors and service providers; handle incoming mail and electronic correspondence, including distribution and archiving.
  • Coordinate building administration tasks, annual equipment inspections and procurement activities.
  • Manage office supplies, HSE materials, consumables, technical items and service contracts (courier, mail, cleaning, etc.).
  • Organize internal meetings, visits, events and company initiatives (e.g., Global Safety Day, Global Care Day, integration events, fairs).
  • Manage Site documentation and act as Documentum and LMS Platform Leader (structure, updates, user support, communication).
  • Prepare reports and translate company documents into Polish.
  • Health, Safety & Employee Administration Support
  • Oversee the Site Guestbook, welcome visitors and ensure communication of safety rules.
  • Supervise cleaning services and verify the quality of work.
  • Register new and departing employees for security access; manage keys and employee lockers.
  • Communicate procedure updates and maintain compliance confirmations (signatures, databases, archiving).
  • Support HR with medical checks, employee qualifications and personnel documentation.
  • Prepare and verify attendance lists and time records; liaise with leaders and external agencies.
  • SAP Vendor & Procurement Support (Płock & Warsaw office)
  • Act as local SAP Key User for Procurement and Maintenance (instructions, training, troubleshooting).
  • Register new vendors in systems (SAP, Ariba); process invoices and payment requests.
  • Create purchase requisitions and orders, confirm services and goods receipts,
  • Support Accounting teams in resolving discrepancies between orders and invoices.
  • Perform invoice coding (PO / non‑PO) and prepare re‑invoices for Finance.
  • Audit utility invoices and verify cost accuracy.

You Bring This Value

  • Bachelor’s degree required
  • Approximately 2 – 4  years of experience in similar role
  • Experience in a global, fast-paced, dynamic and deadline driven environment
  • SAP experience
  • Strong computer skills and proficient in MS Office Suite including Word, Excel
  • Able to multitask and meet aggressive deadlines
  • Ability to work under pressure
  • Ability to work on your own initiative
  • Passion for driving continuous improvement
  • Excellent interpersonal and communication skills
