Basic Function

LyondellBasell is seeking a Senior HR Administrative Assistant with a track record of success for one of the largest and most admired plastics, chemical and refining companies in the world. The Sr. Human Resources Administrative Assistant will support three senior global leaders on the People & Culture Leadership Team (HRLT); Sr. Director of Talent & Learning, Chief Diversity Officer, and Sr. HR Director APS. Due to the sensitivity of our work, a critical aspect of this role will be to maintain confidentiality with all daily activities. This position is located at our North American Headquarters in Downtown Houston and is eligible for hybrid work arrangements as outlined in the Global Remote Working Policy.

Roles & Responsibilities

  • Effective time management including oversight of multiple calendars and e-mail, prioritization of action items, reminders of due dates and responses to inquiries as well as proactive preparation and delivery of briefings on key events, meetings, travel or other calendar items 
  • Coordinate internal and external meetings (including travel and catering set-up and reservations, hotel contracts, preparation of agendas, meeting rooms, registration, meeting equipment, recreation, promotional items, billing, and managing outside vendors) both domestically & internationally
  • Assist in planning and execution of staff meetings including securing meeting space and guest speakers, developing invitations and communications with attendees, coordinating written materials, taking minutes from each meeting and tracking open issues/actions, etc.
  • Organize, set the agenda and presentations for periodic global calls/meetings
  • Coordinate and manage domestic and international travel arrangements including developing travel itineraries and securing appropriate travel visas
  • Reconcile and submit monthly expense reports in accordance to the policy
  • Assist in the preparation of various reports and presentations on a variety of HR related topics and perform data analysis of a moderately complex nature, including maintaining, manipulating and analyzing data in various applications, verifying accuracy of data, identifying and resolving issues with data and developing recommendations to remedy errors and mitigate future occurrences
  • Maintain and organize data/information on SharePoint and TEAMs sites as needed
  • Support the planning and coordination of major HR processes, programs and/or projects to ensure functional goals are completed on time and with optimum quality  
  • Ensure consistency and quality of communications and presentations, publish organizational announcements to company intranet and develop communications to internal and external stakeholder groups as needed
  • Assist in onboarding new team members including securing desk space, IT equipment and setup, and first day coordination
  • Provide varied administrative support activities including, but not limited to, maintenance of files, forms and various project documentation, order supplies, ensure payment of vendor invoices, and provide backup support to other HR assistants, as needed
  • Professionally represent People & Culture leaders and the organization to internal and external stakeholders
  • Maintain discretion over confidential information and documents
  • Other duties as assigned

Min. Qualifications

  • High School diploma or GED; Associate degree or equivalent strongly preferred
  • Requires a minimum of 8 years’ experience in a multinational corporation providing administrative support to senior leaders at senior director level or above.
  • A minimum of 2+ years working effectively in high-pressure situations while managing multiple tasks and handling confidential and sensitive information (such as financial and/or employee data).
  • Advanced Microsoft office skills (Excel, PowerPoint, Word), and have an understanding of SAP and preferably Success Factors
  • Excellent listening and interpersonal communication skills
  • Excellent organizational skills, attention to detail, and sense of urgency
