Basic Function

The Talent Development and HR Management Systems teams, within Human Resources, are seeking an Administrative Assistant.  The ideal candidate for this position will be energetic, highly motivated, an excellent team player and be able to manage multiple priorities simultaneously with attention to detail.  The successful candidate in this position will have excellent organizational skills, show initiative to improve current processes and workstreams, possess an outstanding attitude and customer service focus, and will have strong written and verbal communication skills.  Due to the sensitivity of our work, a critical aspect of this role will be to maintain confidentiality with all daily activities and assignments.
 The Administrative Assistant will successfully manage day-to-day calendars, mail, e-mail and telephones. This professional will prepare reports, respond to correspondence, assist with presentation materials, as well as coordinate and oversee domestic and international travel arrangements and expense reporting. This position will play a key role in coordinating large meetings and events, including interacting with participants and presenters, managing facilities and providers, and playing a role in ensuring the event’s overall success.  Additional assignments will include data gathering, purchase requisitions, vendor payments, invoice processing and filing.

Roles & Responsibilities


  •  Provide administrative support to two distinct teams within HR.  Talent Development and HR Management Systems.
  • Coordinate travel plans, both domestic and international
  • Coordinate internal and external meetings (including travel and catering set-up and reservations, hotel contracts, meeting rooms, registration, meeting equipment, recreation, promotional items, billing, and managing outside vendors) both domestically and internationally
  • Assist in the preparation of various reports and presentations, performing data analysis as needed on such topics as succession planning, talent development, and various other HR related initiatives
  •  Develop communications to internal and external stakeholder groups
  • Support the planning and coordination of major HR process, programs, and/or projects to ensure departmental goals are completed on time, and with optimum quality; processes/projects may include performance calibration, talent management, merit process, employee engagement, etc.
  •  Assist in the preparation and monitoring of the Teams’ budgets and expenses
  • Complete word processing, graphical, spreadsheet and database assignments as requested.
  •  Manage multiple calendars, T eamShare sites and project libraries Maintain confidential data related to HR initiatives
  • provide varied administrative support activities including, but not limited to, maintaining files and forms, submitting expense reports, and maintaining various project documentation, distributing mail, managing office supplies, etc.

Min. Qualifications

  •  High school diploma or equivalent with 5 years administrative professional experience
  •  Advanced Microsoft Office skills, including Excel (macros, pivot tables, V-lookup), Word, PowerPoint. Additionally, must have experience with or willingness to learn SAP, SuccessFactors and Concur
  • Requires a degree of independence in completing job responsibilities prior to issue escalation; able to initiate administrative improvements
  • Excellent interpersonal skills; able to communicate and coordinate workflow assertively and diplomatically at all levels in the organization, especially at the senior management level
  • Well-honed organization skills-manage workflow & projects effectively and timely
  • Able to manage & prioritize multiple projects at the same time
  • Work Hours: Monday – Friday, 8:00AM – 5:00PM, with a one-hour unpaid lunch break and occasional overtim
