Basic Function
Provide high-level administrative support for various members of the Americas Circularity & Low Carbon Solutions Business organization and their staff by conducting research, preparing reports in SAP and Excel, handling information requests, and performing clerical functions such as preparing correspondence and presentations, arranging conference calls, scheduling meetings and managing travel and expense reporting.
Roles & Responsibilities
The Senior Department Administrator is responsible for successfully performing all administrative duties in support of the Americas C&LCS Business organization:
- Complete word processing, graphical, spreadsheet and database assignments as requested. Supporting the contract administration process through entry into Documentum and document retention is an important example of this activity.
- Coordinate collection of semi-monthly business highlights from Business Directors and Marketing Managers Collaborate with counterparts in Europe and Asia to ensure smooth coordination between departments
- Manage multiple calendars, email and phones.
- Coordinate and on occasion, provide onsite administrative support for internal and external meetings and conferences, including travel, hotel, and food service. Preparations for Conferences, particularly planning for supplier and customer events, is the most time demanding example.
- Coordinate and adjust travel plans and expense reporting as requested Create purchase requisitions and place orders for group.
- Understand operations and workflow.
- Be the information resource focal point for the group.
- Prioritize work to meet deadlines, new work and changing requirements.
- Organize the day-to-day work of the department to ensure consistency and continual improvement. Maintain the confidentiality of all work products.
- Maintain pcards and statement reconciliations. Arrange interview schedules.
- Maintain org charts and staff contact information, birthdays, and years of service Facilitate new employee start-up.
- Maintain office logistics and assignments. Fulfill Emergency Coordinator duties.
- Coordinate safety meetings and all safety processes Generate monthly SAP reports upon request.
- Maintain libraries for customer contacts, pricing and Force Majeure documents and send out as requested. Set up and maintain TeamShare sites.
- Provide support for Technical Networks on request. Preparing reports, spreadsheets, and presentation materials. Supporting records management policy.
- Arranging for facility and purchasing needs.
Min. Qualifications
Education:
- High School Diploma required.
Work Experience:
- Minimum 8 years administrative experience.
- Prior SAP experience

- Has excellent client skills, a professional demeanor, and impeccable organizational abilities.
- Is detail-oriented and can anticipate the needs of the group.
- Is able to balance the workload demands of various projects.
- Can prioritize tasks and complete quality work within the timeline and with the goal of exceeding expectations.
- Proficient in personal computer skills, including Microsoft Word, Excel, PowerPoint, SAP, and Documentum.
