The Front Office Coordinator provides front desk and administrative support to the Executive floor reporting into the Sr. Executive Assistant. This is a great opportunity to ensure efficient operations to the front desk, this position will ensure all guests on the Executive floor go through the proper screening upon arrival. This person will execute tasks given with precision, completed with accuracy and quality in a timely manner. This position is located at our North American Headquarters in Downtown Houston. The ideal candidate for this position will be energetic, self-motivated, an excellent team player and be able to manage multiple priorities simultaneously with attention to detail. The successful candidate in this position will have excellent organizational skills, show initiative, and possess a customer service focus as well as have a natural passion for learning and enjoy taking on new tasks and projects with a positive attitude. Due to the sensitivity of our work, a critical aspect of this role will be to maintain confidentiality with all daily activities. 

A Day In The Life:

  • Professionally represent executives and the organization to internal and external stakeholders by greeting external and internal visitors to the Executive Floor.
  • Stay focused and engaged with day-to-day work while still maintaining visibility at the front desk at all times. 
  • Maintain weekly visitor log. 
  • Observe and engage in ways to help others including outside groups, whenever the need arises.
  • Book conference rooms/calls, various methods of transportation, couriers, hotels, etc. for visitors.
  • Strategic partner and administrative support to the Sr. Executive Assistant as needed.
  • Work with the Sr. Executive Assistant in scanning documents, typing up itineraries and other assignments on an as needed basis. 
  • Ability to handle multiple tasks and duties simultaneously with high attention to detail.
  • Ensure conference rooms and other meeting spaces are prepared prior to use as well as after meeting cleanup. 
  • Perform administrative duties, such as filing, faxing, answering/screening phone calls, ordering office supplies, expense reports and responding to emails as needed. 
  • Support the Sr. Executive Assistant on projects that will make the Executive Office operate more smoothly and efficiently.
  • Seek out additional assignments if all other work is complete.
  • Creating presentations and team communications as needed.
  • Retrieving corporate records, documents, and reports.
  • Strong interpersonal skills.
  • Escort and maintain visibility to external guests while on the Executive Floor lobby upon entering/departing and logging visits and ensure all guests are greeted kindly and offered beverages. 
  • Helping prepare for meetings by creating/prepping meeting materials and/or handouts.
  • Assist in making travel arrangements as needed. 
  • Other duties as assigned.

You Bring This Value:

  • Bachelor’s degree and/or a minimum of 5 years of prior administrative related professional experience.
  • Excellent interpersonal skills; able to communicate and coordinate workflow assertively and diplomatically at all levels in the organization, especially at the senior management level.
  • Possess the ability to professionally interact with internal and external stakeholders. 
  • High attention to detail and have a high level of accuracy on all assignments.
  • Self-starter and well-honed organization skills-manage workflow & projects effectively and timely.
  • Able to manage & prioritize multiple projects at the same time.
  • Comfortable working independently and making decisions but must also be a team player; able to deal with ambiguity and various personalities.
  • Advanced Microsoft Office skills, including Excel (macros, pivot tables, V-lookup), Word, PowerPoint.
  • Skilled in the use Microsoft Office Outlook suite, SAP, Concur, Sharepoint and Microsoft Teams (preferred).
