Assistant Facilities Manager

Basic Function

Under the supervision of the Facilities Manager, the  Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This is a management position that will directly and indirectly supervise individuals, building staff, operations, and coordinate across the real estate and facilities organization at a specific location, set of buildings, or campus environment. The Assistant Facilities Manager drives implementation of company best practices in alignment with client goals and objectives to deliver  well-managed and maintained buildings.

Roles & Responsibilities

  • Manage the building staff in absence of the Facility Manager. Includes all managerial functions, which are included in the Facility Manager, or directed by the manager
  • Responsible for the day-to-day operations of the facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with LYB policies and client directives
  • Ensure all contracts are reviewed on a regular basis and are bid out as required and confirm invoices match contract pricing
  • Creating purchase requisitions and monitoring invoices for facilities purchases. Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties
  • Respond promptly to clients, landlords, and vendors requests for building maintenance, repairs, cleaning needs, etc. from building occupants and for the implementation of ongoing contract programs to address and resolve needs and problems, provide status updates 
  • Compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time
  • Conducts budget review and variance reporting (monthly and quarterly) as well review of contracts, expenditures and purchase orders relate to the facility (s) or complex as directed
  • Collect, analyze, and prepare reports of such statistical data as may be required to provide accurate and current assessment of facility management objectives (Analyzes and benchmarks process metrics against industry standards to ensure a "best practice" is achieved when possible) including monitoring and measuring key performance indicators against service level agreements
  • Complete understanding of management contract, vendor agreements, and other building/facility contracts and all requirements contained therein including monitoring and assessment of vendor performance
  • Proactively inspect the facility, systems, rooms, common areas, etc. and report back any findings or issues to the Facility Manager
  • Create purchase requisitions in SAP and monitor annual invoicing
  • Coordinate amenity services, including invoicing, ordering services, and cancelling services
  • Provide general facilities services and support to internal colleagues including space planning, organization stacking and project coordination
  • Manage and point of contact  for employee parking program to optimize utilization and costs
  • Responsible for coordination of all service requests (via shared mailbox monitoring, phone request, etc.) by ensuring they are documented and assigned to the appropriate personnel for completion  
  • Act as a Safety Coordinator; responsible for maintaining Floor Warden and CPR First Aid certification programs
  • Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers --Association (BOMA) industry certifications recommended; other Engineering, Business, or technical training or certifications a plus
  • Ability to read and understand construction specifications and blueprints
  • Proficient in understanding management agreements and contract language
  • Skilled in Building Management Systems maintenance and monitoring
  • Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint) Strong  discipline of financial management including financial tracking, budgeting and forecasting
  • Proficient experience in SAP

Min. Qualifications

  • Bachelor’s degree in facilities management, building, business or other related field required
  • Minimum 5 years’ relevant experience, preferably in commercial or industrial real estate with facility management experience required
  • Past experience with iOffice a plus and/or comparable  space management platform

Preferred Qualifications

  • One year supervisory experience preferred
  • Experience in maintenance, construction, engineering, and all facets of property operation and building management preferred
