Basic Function

Provide coordination, administrative and clerical support to the CVO Central Maintenance organization which includes Facilities Services, Auto Shop, Planning/Scheduling, and Materials Inventory organizations.

Roles & Responsibilities

Administrative
• Administrative support to the Central Maintenance Manager
• Coordinate meetings inside as well as outside the complex
• Manages group tracking sheets such as safety participation, vacations, etc.
• Manage copy machines, fax machines and vending machines for assigned areas
• Order supplies for various contractors as well as Central Maintenance organization
• Organizes special events for group including business lunches and recognition events
• Maintain, track, update, and distribute the CVO contractor headcount monthly to CLT
• Update planner feedback information
• Update maintenance walkabout findings and follow up with responsible groups
• Prepare necessary interview packets and assist in onboarding new employees
• Submit SAP user profile requests for Maintenance contractors

 

Facilities Services Coordination
• Manage the Facilities Services requests for the Facilities Supervisor ensuring requests are acknowledged, status is updated frequently, and customers receive sufficient communication on the status of their requests.
• Create, maintain, and coordinate Facilities Services daily schedule
• Manage customer service feedback from site “customers”. Provide a first attempt to address issues identified by site “customers” and elevate to the site Facilities Supervisor as needed.
• Act as back-up to the Facilities Supervisor
• Verify all Coopwood timesheets weekly
• Primary contact and will manage – all vending machines sitewide, all shred bins at Admin Bldg, all coffee issues if escalated above area admin level sitewide, and all Cintas mats at Admin Bldg
• Track P-card charges (corporate credit cards), reconcile charges monthly, and ensure compliance with corporate P-card policy

 

Auto Shop Coordination
• Fleet management activities including:
◦ Manage all fleet documents including count, ownership, registration, inspections, PMs, emissions reporting for site vehicles
◦ Track, coordinate, and schedule all state inspections and PMs for site vehicles
◦ Process all new fleet vehicles including adding to fleet master data list obtaining ARI number, registration, setting up SAP equipment number and PM schedule through Documentum
◦ Site contact for admin fleet pool vehicles including reservations
• Fuel Management activities including:
◦ Orders all fuels for the site weekly
◦ Act as primary contact for fuel access mgt including tracking all fuel transactions, adding badges and vehicles to FuelForce system
◦ Tracks monthly usage for proper billing
• Track P-card charges (corporate credit cards), reconcile charges monthly, and ensure compliance with corporate P-card policy

Min. Qualifications

JOB QUALIFICATIONS
• HS diploma (or equivalent) with 5+ years of experience in an administrative role
• SAP knowledge Preferred
• Knowledge of Teamshare/Share Point to assist in the manage the CVO Facilities Teamshare
• Ability to follow verbal and written instructions
• Excellence in organization and maintenance of records
• Ability to prioritize and execute multiple tasks
• Possess great communication and interpersonal skills
• Ability to develop, grow and maintain positive customer relations
• Ability to follow through and research various projects without direct supervision
• Proficient in word processing, spreadsheet and graphic software
